Install Communication Windows

Most professionals don’t lose hours in meetings.

What are Communication Windows 

Communication Windows are scheduled times where you intentionally:

• Check email
• Respond to messages
• Return calls
• Review notifications

Outside of those windows, communication stays closed.

This does not reduce responsiveness.

It improves it.

Because you respond with focus — not distraction.

HOW To Install It

Step 1: Choose 1–2 Dedicated Times Per Day

Example:

11:30 AM — 12:00 PM
4:00 PM — 4:30 PM

Or if your volume is lower:

1:00 PM — 1:30 PM only

Choose what matches your business.

Step 2: Turn Off Notifications

• Disable email push notifications
• Silence text previews during focus blocks
• Close inbox tabs during Sales or CEO Time
• Turn off desktop alerts

If you keep notifications on, the system will not work.

Step 3: Set Expectations (Optional but Powerful)

You can add a simple email signature line:

“I check email at scheduled times throughout the day. If urgent, please call.”

This trains your clients without reducing service.

Professional boundaries build professional perception.

DAY 4 ACTION ITEMS

Today:

  1. Select 1–2 communication windows.

  2. Add them to your calendar.

  3. Label them “Communication.”

  4. Color-code them.

  5. Turn off non-essential notifications.

  6. Close your inbox outside those windows.

Test this for 5 business days.

You will immediately feel the difference in mental clarity.
